Privacy notice
What we hold
Your name, the year you entered the programme, your current stage and role, your institution and city, your research interests, links you choose to add, and the email addresses you give us.
For people the programme itself put on the roll, we also hold two things that came from the programme’s own contact records rather than from you: your UCT student number and, where the records had one, a telephone number. We hold them so that an administrator can tell two people of the same name apart and reach you about your own entry. They are administrative only: they are never published, never shown to another member, and never shown on any page of this site. You can see both in the download on your profile page, and you can ask an administrator to correct or erase either of them.
Beyond that, nothing. We do not collect identity numbers, home addresses or any health information.
Two different things, held on two different grounds
The programme roll is the record that you took part in the UCT intercalated programme — your name, the year you entered, your stream and whether you completed Honours. This is a factual record of participation in a publicly-funded programme, in the same way that a scholarship foundation publishes the people it has funded, and it is published on that basis rather than on your consent. It stays on the site, and it carries no contact details and no way for anybody to reach you.
Your member profile is everything else – what you are working on now, where you are, your photograph, your links, and whether other members can contact you through the network. All of that is yours, all of it is optional, and you can withdraw any part of it at any moment from your profile page.
So leaving the directory removes your profile and makes you uncontactable, whilst the record that you came through the programme remains. If you have a reason to need your name off the published roll as well – and there are good reasons, from personal safety to a name you no longer use – write to us and a person will deal with it.
Why
So that members of the network can find and contact one another, and so the programme has a record of who came through it. That is the whole purpose. We do not sell it, and we do not share it outside the network.
Who can see it
You decide, field group by field group, for everything in your member profile. Your contact details are visible to nobody unless you change that, and no part of your profile — your role, your institution, your bio, your photograph, your links — appears to anybody, on the public site or in the members’ directory, unless you have consented to being listed.
The programme roll is the exception, and it is the only one. If the programme’s records place you on it, your name, entry year, cohort, stream and whether you completed Honours are published on the public site whether or not you have said anything to us, because they rest on the programme’s record of participation rather than on your consent. That is described in full above, and only an administrator can take an entry off the roll.
Consent
Listing, public listing, the newsletter and mentorship contact are four separate choices. You can grant or withdraw any of them at any time from your profile, and withdrawing one does not affect the others. Every change is logged with the date and the version of this notice you saw.
Your rights
Under POPIA you may see everything we hold about you — including the administrative fields above — correct anything wrong, and have your record deleted. The download on your profile page is complete: it holds nothing back.
Deletion is a real erase, not a hidden flag. For anybody not on the programme roll it removes the record entirely. For anybody on the roll it erases the profile and withdraws every consent immediately, whilst the roll entry and the dated log of what you consented to remain — the first because it is the programme’s record rather than yours to delete, the second because it is the evidence of what you were asked and what you answered, and deleting it would leave you with no way to show what we did. Write to us if you want the roll entry reviewed as well, and a person will deal with it.
Messages, posts and events
The member portal holds the messages you send in a conversation, the posts and comments you write on the board, your RSVPs to events, the mentorship requests you send or receive, who you have blocked, and your settings — whether your inbox is open and whether you get the daily digest.
A message is seen by the people in that conversation and, if you or someone else reports it, an administrator. Posts, comments and RSVPs are seen by signed-in members only — never the public.
All of this stays until you delete it yourself or erase your profile. Erasing your profile blanks your messages and shows you as “A former member” in other people’s conversations, because a conversation is the other person’s record too, not only yours.
The portal also sends an email nudge if a message sits unread for ten minutes, and an optional daily digest of what you missed. Both can be turned off from Settings.
The outcomes study
The network’s research arm is conducting a separate study of programme outcomes from 2011 to 2025. That study runs under its own ethics approval and its own consent. It is not connected to this directory, and joining the network does not enrol you in it.
